Privacy Policy
How we collect, use, store and protect your personal information, in line with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

1. Who We Are

2. Information We Collect
When you submit our contact form, we collect:
- Your name and email address (required)
- Your business name, phone number and website (optional)
- The service you are interested in and your message
- Your consent choices, including whether you opted in to marketing emails
We also briefly process your IP address when you submit the form, solely to prevent spam and abuse. It is held temporarily in server memory and is not stored in our records.
We do not knowingly collect personal information from children, and we do not collect sensitive information such as payment details through this website.
3. Why We Collect It
We use your information only for the purposes you would reasonably expect, namely to:
- Respond to your inquiry and schedule a consultation
- Send you a confirmation that we received your message
- Provide proposals or information about the services you asked about
- Send marketing tips and updates, only if you gave us express consent
We do not sell, rent or trade your personal information.
4. How Your Information Is Stored and Shared
Contact form submissions are not stored in a website database. They are delivered by email to our team through Resend, a third-party email delivery provider, and are kept in our business email account. This website is hosted by Vercel.
These service providers are based in the United States, so your information may be processed and stored outside Canada and may be subject to the laws of those jurisdictions. We only share the information they need to provide their services, and they are required to protect it.
We keep inquiry emails only as long as needed to respond to you and manage our business relationship, or as required by law, and then securely delete them.
5. Analytics
We use Vercel Web Analytics and Vercel Speed Insights to understand how visitors use our website and how quickly pages load. These tools collect aggregated, anonymized data such as pages visited, referring sites, device type, browser, country and page performance. They do not use cookies, and we do not use them to identify individual visitors.
6. Marketing Emails and CASL
In accordance with Canada's Anti-Spam Legislation (CASL), we only send commercial electronic messages, such as marketing tips and updates, to people who have given us express consent. On our contact form, this consent is a separate, optional checkbox that is unchecked by default. Agreeing to be contacted about your inquiry does not sign you up for marketing.
Every marketing email we send identifies Promobiz Solutions, includes our mailing address and contact information, and contains an unsubscribe link. You can withdraw your consent at any time by using that link or emailing info@promobiz.ca. We will process unsubscribe requests within 10 business days.
7. Accessing, Correcting or Deleting Your Information
You may ask to see the personal information we hold about you, correct it, or have it deleted, and you may withdraw your consent at any time, subject to legal or contractual restrictions. To make a request, email info@promobiz.ca. We may need to verify your identity, and we will respond within 30 days.
8. How We Protect Your Information
We use reasonable physical, organizational and technical safeguards to protect your information, including encrypted (HTTPS) connections to this website and access to inquiry emails limited to staff who need it. No method of transmission or storage is completely secure, but we work to protect your information and will notify you and the Privacy Commissioner where required by law if a breach creates a real risk of significant harm.
9. Changes to This Policy
We may update this policy from time to time. The "Last updated" date above shows when it was last changed.
